We are searching for a Sales and Business Operations Analyst who can support executive and sales leadership on the day to day sales and financial operations and analysis. This role is for candidates who enjoy evaluating and assessing data, and have financial acumen, and strive to organize revenue reporting. As the Sales and Business Operations Analyst you will help support the sales team, the finance team and the executive team by helping them report accurate sales data, ensure clients are billed properly and manage the day to day revenue reporting.

The Sales and Business Operations Analyst will work in close partnership with other internal teams—Sales, Account Management, Media Operations, Production, Marketing, and the executive team to accelerate the growth of Advantage Media.

Responsibilities:

  • Manage all revenue, sales and financial data analysis for the Advantage Media division.
  • Develop/maintain reports and dashboards. This includes: Developing, managing and continuously updating all weekly/quarterly financial reports.
  • Design and implement procedures to use the sales CRM platform (Hubspot), and write any needed process documentation.
  • Ensure data accuracy and verify Hubspot data: create monthly/weekly cadence to review and audit data. Load data into Hubspot and perform general sales administration as needed. This includes, communicating effectively with all sales members to ensure the data is accurate and up to date.
  • Work closely with sales and account management leaders to analyze deal movement and efficiency of sales processes.
  • As the needs of the organization evolve and expand, create, evaluate and optimize financial and sales data analysis, including creating new systems, processes or utilization of new platforms.
  • Manage the sales pipeline, including all reporting and documentation to the sales leaders and executive team. Highlight any issues with inaccuracies.
  • Manage the forecasting data analysis- supporting the Sales and Account Management leaders to get accurate forecasting. This includes contacting sales people to update the forecasts, ensuring numbers are accurate, updating with actuals, and organizing and inputting data from multiple sources.
  • Interface daily/weekly with the finance department- ensuring proper billing and revenue recognition.
  • Ensure data across all platforms is accurate and aligned (operations project sheet, Hubspot, financial documents, finance generated reports, etc.)
  • Working directly with the finance department daily/weekly- manage the billing (JCR/BCF) process, manage the margin on all accounts and ensure all clients are billed appropriately.
  • Receive vendor invoices and ensure they are coded properly for finance.
  • Contact vendors to support finance for reporting, reconciliation, or analysis.
  • Report margin to executive team weekly/monthly for all sales and operations activities.
  • Manage and organize contracts as they are signed. In some situations, gain signature for internal buy authorizations between internal agencies and Advantage Media.
  • Manage billing communications between clients, sales and account management teams and finance team. Resolve any client billing issues and communicate to client or internal team member.
  • Support executive team in management of the P&L statement as needed.

Experience:

  • Education Level: Bachelor's Degree or equivalent experience required.
  • Minimum 1-3 years’ experience working in finance, sales operations, or business analyst role.
  • Proficient in Microsoft Office applications, especially Excel. Experience with Hubspot is a plus.
  • Good verbal communication skills – comfortable communicating over the phone and in person with sales team members and management staff at various levels
  • Good written communication stills – ability to produce professional documents and emails. Able to effectively communicate status to executive management.
  • Good planning and prioritization skills – handle multiple tasks with conflicting/ overlapping timelines.
  • Able to set expectations appropriately and meet deadlines consistently.
  • Able to build working relationships with team members and personnel at all levels.
  • Experience working in a digital agency or advertising technology company (DSP, data provider, SSP).
  • Proven ability to show results through effective written and verbal communication.
  • Sharp analytical and creative problem-solving skills.
  • Proven ability to thrive and work autonomously in a fast-paced environment.
